Closewell Studio

This policy explains what Closewell Studio collects when you use this website or work with us, why we collect it, and what you can ask us to do with it. We've kept it short and plain.
What you send us about a deal stays between us. We use it only to build your proposal, and we take nothing else from it.
What we collect
- What you send us through the brief and RFP forms. The next sections explain exactly what that covers and how we protect it.
- Emails and files you send us while we work together, such as an RFP, deal notes or brand files.
- Basic analytics about how the site is used, such as pages viewed, the device and browser you're on and a rough location. These numbers are grouped and don't tell us who you are.
- Cookies that Framer, the platform this website runs on, sets so the site loads and works. Our cookie policy has the detail.
Your brief, RFP and deal details
Briefs, RFPs and deal notes are commercially sensitive, and we treat them that way. This section covers anything you send us about a deal, whether it comes through a form, by email or on a call. Where it's stricter than the rest of this policy, this section wins.
Here's what the brief and RFP forms collect.
- Your name, work email and company.
- What you're bidding on, who's buying, the kind of deal, the deal size, the deadline and who reads and signs it.
- Links to the RFP, a tender portal or your deal notes, and what those links open.
- Anything else you choose to write or attach.
How we use it
We use it only to scope, price and build your proposal, and to talk to you about that proposal. That's all. We don't use it for advertising, we don't add you to a mailing list because you sent a brief, and we don't use it for any other client's work. We keep it confidential.
What we never do with it
- We never sell it, rent it or trade it.
- We never use it to train AI models.
- We never publish it.
- We never show it, or the proposal we build from it, in our examples, portfolio, case studies or marketing without your written permission.
Who can see it
Only the people working on your proposal. If a contractor or service provider helps with that work, such as a freelance designer, our email host or our file storage, they're bound by confidentiality and only handle it to do that work. We don't share it with anyone else unless the law requires it.
How long we keep it
If no project goes ahead, we delete or anonymize it within 12 months of our last contact with you. If we work together, we keep it for as long as the project agreement says, plus the invoice records we must keep for accounting and tax. You can ask us to delete it at any time by writing to hello@closewellstudio.com, and we will.
NDAs
We'll sign your NDA, or send you ours, before you share anything sensitive. Tick the NDA box on the form or ask by email, and we'll have it signed before you send the details.
Only send what you can share
Please only send us what you're allowed to share. If an RFP or your notes hold anything you can't pass on, such as a buyer's confidential pricing or someone's personal details, redact it first. We can build around the gaps.
Why we collect the rest
- To reply to your message and talk through your project.
- To plan, build and deliver the proposal you hire us for.
- To send invoices and keep the records we need for accounting and tax.
- To see which pages are useful so we can improve the site.
We don't sell your information, and we don't use it for advertising.
Who else sees it
We use a small number of providers to run the studio, such as our website platform, email, file storage and payments. They only handle your information to provide that service to us, and anyone who touches a brief or RFP is bound by confidentiality. We don't share it with anyone else unless the law requires it.
How long we keep the rest
Messages from people we don't end up working with are deleted or anonymized within 12 months of our last contact. Invoices and the records tied to them are kept for as long as accounting and tax law requires. You can ask us to delete anything else at any time, and we will.
Your choices
- Ask for a copy of the information we hold about you.
- Ask us to correct it or delete it.
- Ask for an NDA before you share anything sensitive.
- Block or clear cookies in your browser settings at any time.
